Standards & compliance

Legally admissible. Properly documented.

Scanned documents are admissible in UK civil proceedings under the Civil Evidence Act 1995 — but only when the process around them is right. Ours is built from the ground up to meet that standard.

BS 10008:2020
Evidential weight and legal admissibility of electronic information. Our processes are aligned to this standard — critical for solicitors, councils and NHS organisations.
UK GDPR / DPA 2018
Full compliance for all personal data processed on behalf of Belfast, Northern Ireland, Republic of Ireland clients. Secure handling, processing, and disposal in line with the Data Protection Act 2018.
National Archives standards
Document handling, image capture, file format, metadata and folder structure aligned to The National Archives digitisation guidance — required for public sector bodies.
Chain of custody
Every document signed in and out with detailed audit logs maintained from collection through delivery — supporting legal, NHS, and public sector chain-of-evidence requirements.

What Belfast, Northern Ireland and Republic of Ireland businesses gain from digitisation

The move from physical to digital isn't just about saving space — it transforms how your organisation accesses, protects and manages its records.

Reclaim your office space
Filing cabinets, archive boxes and off-site storage units cost money. Digitise and reclaim the space for what matters.
Find any document instantly
OCR-searchable PDFs mean any name, reference or date across thousands of pages is one search away.
Stronger security & compliance
Encrypted files, access controls, and audit trails provide far stronger GDPR compliance than a filing cabinet ever could.
Multi-site access
Staff across multiple Belfast, Northern Ireland and Republic of Ireland offices — or working remotely — can access the same document simultaneously.
Disaster recovery
A secure digital backup means your records survive fire, flood, or theft. No physical archive can say the same.
Reduce retrieval costs
No more staff time spent hunting through boxes. Digital records are retrieved in seconds, reducing overhead across the organisation.

Yes. An Access NI Enhanced vetted Fiolta Digital team member collects your documents directly from your Belfast, Northern Ireland and Republic of Ireland office, clinic, or storage facility. A signed collection log is completed on the day, recording every box and file collected. Your documents never travel through an unmonitored courier chain.
Yes — provided the scanning process meets the correct standards. Under the Civil Evidence Act 1995, scanned copies are admissible in UK civil proceedings. Our processes are aligned to BS 10008:2020, which specifically addresses the evidential weight of electronic documents. We maintain full chain of custody records throughout, which is what courts and regulators look for.
All work is carried out by by an Access NI Enhanced checked employee. Scanning takes place at our secure, CCTV-monitored facility in Magherafelt. Files are delivered via encrypted password-protected cloud link or USB. We process all personal data in line with UK GDPR and the Data Protection Act 2018, and we can provide a Data Processing Agreement for clients who require one.
Standard output is searchable PDF (with OCR text layer) or PDF/A for archival clients. We can also output master TIFF files, JPEG, PNG, or any combination. File naming conventions, folder structure, and metadata can all be tailored to match your existing systems or the requirements of your document management software.
Yes. We handle projects from a single box of files to multi-year archive clearances. For large-volume projects, we'll scope the work with you, agree a production schedule, and keep you updated throughout. For very large projects — such as a full office clearance or a council archive — we can discuss phased collection and delivery to minimise disruption to your operations.
Your original documents are returned to you at your Belfast, Northern Ireland and Republic of Ireland premises with a signed handover document confirming all items have been returned. If you require secure disposal of paper originals after scanning, we can arrange certified shredding with a certificate of destruction. This is particularly relevant for solicitors, healthcare providers, and public sector bodies with defined document retention policies.
